Event Planners: Impress Your Audience Without Breaking the Bank

Spending a huge amount of money to impress your event attendees isn’t really necessary, points out Successful Meetings. What you should focus on are a few key, strategic factors to run a well-put-together, organized, and high-energy event. Here are four pointers to get you started.

  1. Don’t use outdated technology. Almost everyone is impressed by the new and innovative technology gadgets and tricks—and some may come with a cheaper price tag than you think. “Technology such as virtual reality headsets, social media interactivity, and live streaming are all becoming more common and can be run for very little cost. What all these things give you is the ability for your delegates to be more involved with your event and feel more of a part of it,” says Simon Lockwood of Successful Meetings.
  2. Host the meeting in a desirable location. Whether it’s a destination meeting or just a fresh way to get out of the office, ensure that you’re picking a good neighborhood that offers plenty of entertainment and things to do once the meeting has adjourned. “Being somewhere people really want to go gives your venue yet another tick on the wow factor list,” Lockwood says.
  3. Pick an updated, attractive facility. Modern and beautiful meeting places aren’t always going to break your bank with rental costs and fees. Shop around in the area you choose to see what the best options are. Your guests will be eager to explore the venue and surrounding area when its an attractive, visually stunning place, and it’ll leave guests with a positive memory once the meeting is over.
  4. Have plenty of energy and engagement opportunities. Lockwood points out that, “People sign up to attend events in the hope that they will enhance their learning and understanding of a topic. As such, your agenda should be focused upon whatever that topic is, but should address it in a variety of ways by a range of people. Having great speakers is a must, as hearing from someone passionate and knowledgeable about what they are talking about is the sort of thing that people remember for a long time.” Ensure that you have ways to engage and interact with your audience as well. Technology, activities, and frequent breaks can keep people focused and energy high.
